New Broadcast Email

Broadcast email allows you to send a message to a targeted group of prospects.  When creating a broadcast email, you define the recipients, create the message, and send the email.

STOP - Read This Before Sending Broadcast Email!

  • Broadcast email messages are sent to recipients in a trickle-out method, which means the message is sent out over time and recipients may not receive it immediately.  Depending on the number of messages being sent, the delay can be as little as 24 hours or as much as 72 hours

  • Though Web Control delivers broadcast email messages over time and that helps to keep messages from being blocked, be mindful of your content to be sure messages get delivered successfully.  For more information on getting your email delivered, see Broadcast Email Blocks.

  • Statistics show that broadcast email messages have approximately a 20% response rate.  Therefore, consider the number of recipients you are targeting with a message.  It is important that you can handle the number of responses you receive quickly and efficiently.  

  • You receive Unsubscribe requests and returned email due to bad email addresses when you send broadcast email.  These requests and returned email appear on your Prospect Listings page where you will need to handle each email individually.   

  • When sending broadcast email, be aware of other broadcast or automated email messages being sent.  Broadcast email that is sent to a prospect within 30 minutes of another broadcast or automated email being sent to the same prospect will not be delivered.

 

To create a New Broadcast email:

  1. Click the Tools tab.

  2. From the Broadcast Email section, click New Broadcast.

  3. Complete the New Broadcast Email Query Form and click Submit to generate a list of prospects.

  4. In the Search Results, select the prospects you want to receive the email and click Submit.

  1. Create the email message.

    1. Select the From Address.

    2. Type a Subject.

    3. Type text or select a template.

    4. Click Send.

Important Notes:

  • You do not see the recipients' name before sending the message, but you do see the number of recipients who will receive it.  

  • Prospects who have chosen to opt out of broadcast email messages are removed from the recipient list.  You can view their names by clicking the Display button.

  • The Opt Out message is added to the end of all broadcast emails so recipients can unsubscribe to future messages if they choose.  

  • Do not copy text or images from web pages and paste them into your text window.  Formatting is often lost, extra characters may be added, and images may not display correctly.
